Handling of Personal Information

Based on the “Act on the Protection of Personal Information,” ESMOD Tokyo considers the protection of personal information entrusted to us to be an important matter and will manage and operate it in accordance with the following policy.


Definition of Personal Information

In this policy, the following is defined as “personal information.” Personal information refers to information that can identify an individual, such as name, date of birth, address, telephone number, email address, educational background, and other descriptions contained in the information, as well as numbers, symbols, or other codes assigned to each individual. It also includes information that cannot identify an individual on its own, but can easily identify an individual when compared with other information.
In addition, when collecting and using information
deemed “sensitive personal information” under law, such as health information or history information, the School will only do so after obtaining the individual’s consent and will handle it carefully.
 


Collection, Use, and Provision of Personal Information

Collected personal information will be used for the following purposes and will not be used beyond these limits without the user’s consent: 
・Provision of admission and event information 
・Provision of post-admission information (guidance on school administration, course registration, career paths, and various support) 
・Sending various notices and materials, and responding to inquiries 
Furthermore, the School will not provide this information to third parties, nor use or provide it outside the scope of the intended use, without the user’s consent. However, we may disclose personal information without the user’s consent in any of the following cases: (1) When required by law. (2) When it is necessary for the protection of a person’s life, body, or property, and it is difficult to obtain the individual’s consent. (3) When it is particularly necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the individual’s consent. (4) When it is necessary to cooperate with a state organ, a local government, or an individual or entity entrusted by either of the former in executing affairs prescribed by law, and obtaining the individual’s consent is likely to impede the execution of such affairs. 


Correcting, Adding, or Deleting Personal Information

By contacting us at the address below, you can request access, correction, addition, deletion, suspension of use, or disclosure of third-party provision records regarding your registered information. Please note that the School may need to verify your identity before responding to your request. In addition, we may not be able to comply with requests for deletion regarding information that is required to be retained by law. 


Outsourcing Management of Personal Information

The School may outsource the processing of personal information in the course of our business to external companies, such as data centers that operate and manage our servers, software development companies that build and maintain our databases, and direct mail distribution agencies. When outsourcing, the School selects contractors on the condition that they meet a sufficient standard of personal information protection, enters into confidentiality agreements with them, and provides necessary and appropriate supervision to ensure that they handle personal information appropriately. 


About SSL

On the School’s website, we have implemented the encryption technology SSL (Secure Sockets Layer) or TLS on pages where personal information is entered so that users can enter personal information with peace of mind. With SSL/TLS, the entered data is encrypted on the computer being used before being sent, preventing third parties from eavesdropping on or tampering with the data during communication between the registrant’s computer and the web server. 


About Access Logs

When a user accesses the School’s website, access information is stored on the web server as an access log. The access log contains information such as the user’s domain name, IP address, type of browser used, and access date and time, but does not contain any personally identifiable information. It is used only to understand the usage status of this site and to ensure security, and will not be used for any other purpose.
